the long term success of your buying club and the
satisfaction of all members, it's important to keep
on top of these areas: General
Operations, Membership
and Record Keeping.
General
Operations:

Are there written job descriptions for all jobs?
Which jobs still need descriptions? Should some
job descriptions be updated?

Are there written policies that cover order
deadlines, work requirements, ordering rules,
etc.? Do new members understand the policies?

Are there clear directions for how work is to
be done? Is there someone to ask when unanticipated
events occur?

Is the coordinator getting "burned out"?
Is the work shared fairly?

Does more than one person know how to do each
job?
-
Does each person know how to do more than one
job?
-
Is working at the coop enjoyable and rewarding?
-
Is the distribution efficient? Are there enough
workers for each job? Do you encourage new ideas
about more efficient procedures?

Are equipment and supplies on hand when needed?
Are they stored properly when not in use? Is
equipment kept in good repair?

Is your ordering system efficient? Does it allow
the group to easily fill cases? Does it allow
members to get the products they wish to order?
Does it take too long?

Do you have suggestions to improve the way a
particular job is done or process is handled?
Membership:
-
Do you regularly orient new members to the coop's
procedures and policies?

Is there sufficient communication within the
coop? Does your coordinator communicate information
received from your suppliers to your members?

Does your group hold enough meetings to make
needed changes and address differences of opinions?

Do you have a clear decision making process
and does it work well?

Does your group welcome new members? Does Buying
Club Services know if you are accepting new
members?

Has your group sponsored or participated in
any community events?
Record-keeping:
-
Are all truck invoices, credit memos, etc.,
filed for reference?

Are all of the coop's records open to everyone?

Does your group have its own checking account?
Is it reviewed at least annually by someone
other than the check writer?

Is more than one person familiar with the bookkeeping
system and/or the computer program?

Do your members understand additional charges
(tax, deposits) and volume discounts?

Are you using the FoodLink program or has someone
investigated its usefulness?
