Installing FoodLink

Use the group CD or download off the Internet.

Installing from FoodLink CD:

a. Insert CD into the CD drive.
b. CD will automatically start the installation.
c. Click "I Agree" after reading the license agreement.
d. Accept the default directory path for the installation.

Internet download and installation: 

a. Visit the main FoodLink information page
b. Choose the correct version from the download links
c. Choose to save the file to your PC.
d. Download takes about 1 1/4 hrs with a non cable connection.  A high speed connection will take considerably less time.
e. Double click on the file to begin installation.  It is recommended that you accept the installation default of c:\ for your FoodLink directory.
f. Do not delete the compressed download file in case you ever need to reinstall.

Note for people running Access 2000:  After installing FoodLink it is necessary to reestablish the links to your other Access databases.  Do this by opening each database from within Access.  You will only need to do this once.

After installation:

a. Have your Order Coordinator email you the setup.lzh file (member names, tax codes, discount %, etc.) and the products.lzh file. (pricelist).  FoodLink ordering is not possible without these files.
b. These files arrive as email attachments and need to be saved to your FoodLink folder at c:\foodlink.  Do not save the attachments to the 'Desktop.'
c. If unfamiliar with saving email attachments, use the Help menu in your email program, contact your Internet Service Provider (ISP) or ask a friend for assistance.
d. Users will see two FL icons on their desktop.
e. "Compact FoodLink" icon: Starts up the compact/repair function of FoodLink to optimize efficiency. Use after each FoodLink session.
f. Click FoodLink icon to start program
g. Click "Member Mode" button
h. Click "OK".

Setup

STEP 1:  Contact your coordinator to receive the settings file as an email attachment.

STEP 2:  Save the emailed settings file to the FoodLink directory

STEP 3:  Update Your Settings  Import emailed settings file and select your Member ID for ordering. 

Ordering

STEP 1:  Contact your coordinator to receive the pricelist file as an email attachment.

STEP 2:  Save the emailed pricelist file to the FoodLink directory.

STEP 3:  Import Pricelist  Import emailed pricelist file.

STEP 4:  View Pricelist  View and search products list, select items to order.

STEP 5:  Enter Order  Edit or modify your order and send to order coordinator.

 

UTILITIES   Backup and restore PC data.              EXIT FOODLINK

Menu Functions:

Update Your Settings: Opens the screen to enter necessary settings.

a. Import Settings File:  Imports the setup file you previously saved.
b. Select your Member ID using the drop down box.
c. Select your Order Coordinator ID using the drop down box.
d. 'Email Server Name' field will need a SMTP Server Name that can be obtained by calling your Internet Service Provider (ISP)
e. 'Your email address' - enter your personal email address.
f. Click "Exit" to save settings and exit the screen.

Note: Users with AOL and Yahoo type email service may experience difficulties using FoodLink's built in email functions. Check the FoodLink Frequently Asked Questions for assistance.

Import Pricelist:  Opens screen to bring in the pricelist file.

a. Click Step 1. Decompress
b. Click Step 2. Import Pricelist.
c. Click Exit when completed.

View Pricelist: shows the United Northeast pricelist.

a. Look at the top line (Product #00001) to check the effective date of the pricelist.
b. Example:  ** Sep 2002 w 09/08 produce ** is September grocery pricing with 9/8-9/15 produce pricing.

Enter Order:  Place your order by typing in product numbers and quantities.

 

More About Ordering

Ordering when you know the item numbers:

Enter Order Screen:

a. Select NE Distributor in the upper left corner.
b. Type in product number. Use Enter Key or Tab to go to the next field.
c. Click Split if ordering eaches from a full case-use mouse or space bar.
d. Enter order quantity.
e. If ordering a Split enter how many More you are willing to buy to fill the case.
f. To delete an item click the box to the left of the product.  The box will turn black.  Press the Delete key.

After order is complete:

a. Click Print/Send. 
b. Print Order File -previews the order on the screen.
c. To print use Ctrl+P (press the Control key and the P key). 
d. Email Order File  emails your order to the order coordinator selected in Settings.
e. Use the Message area to communicate to the order coordinator.
f. Send Email Now - starts the emailing process.
g. You should receive an "Email Successfully Sent" message. 

An error message is probably the result of an incorrect email server name in the Settings.

One alternative is to use your computer email program to send the desired file as an attachment.

 

Finding Item Numbers and Ordering Using the FoodLink Pricelist

View Pricelist - The pricelist comes sorted by "Distributor" and Item #.

a. Other Sort Options are in a "drop down box" in the upper left corner.
b. Select any of the options to resort the pricelist. 
c. Two of the more useful sorts are "Brand" and "Category".
d. Use scroll bar on right to locate desired brand, category, etc.

Search in Field is at the bottom of the screen and works in tandem with the Search For field directly below it.

a. Decide on column of information to search:  description, product number, category, etc.
b. Select it from the drop down box in the Search in Field
c. Type into the Search For field the text;  such as 'flour', '95678', or 'DF'

When entering text for the Search in Field of "Description" use only a few letters. For instance, type in Echi instead of Echinacea.  Too complete entries may miss products because of abbreviations used in the descriptions.

d. Click Search Now to display only products that meet the entered criteria
e. If desired, perform another search to narrow the selection even further
f. Click in the left margin box next to product to be ordered. Box will turn black
g. Click Add To Order
h. Click Split if ordering eaches from a full case-use mouse or space bar
i. Enter Quantity
j. If ordering a Split enter how many More you are willing to buy to help fill the case
k. Add Now: puts the item on your order. 
l. Restore: returns the display to the full pricelist.
m. Print All Shown: prints displayed list
n. Print Selected: prints any products which are checked off in the Select column.

Beginning a New Order

a. Delete Order button on the order screen erases your entire old order
b. Alternatively, delete only unwanted products off the old order and then add new items

Utilities:  backup and restore functions for the user

a. Backup All FoodLink Tables  prompts user to back up to a disk.
b. Restore All FoodLink Tables use to restore saved data from a disk.

 

Ordering Produce

Produce from Albert's Organics is available to customers served from the Chesterfield NH warehouse.

Use the Weekly Produce Pricelist on the Web - an easy way to get current produce pricing.

The produce pricing is created every Friday by midday and is effective for the following week.  The web listing can be viewed by any user with Internet access, whether or not they are running FoodLink.

a. Go to the Albert's Organics page
b. Click on Product Information and then Produce Pricing. Select the correct list for your warehouse and delivery date.
c. Print entire produce list or get item numbers to use order.
